How Do "Edit Time" and "Time Out After" Settings Interact?
Note: The Can edit time and Time out after settings are available in all Time Doctor subscription plans and can be accessed by Admins and Managers.
TL;DR:
The Can edit time setting controls whether Users can add or edit manual time. The Time out after setting defines the inactivity period before the Were you working? pop-up appears. When Can edit time is ON or set to Approval needed, Users can use the pop-up to add missed time after inactivity or locking the computer. When OFF, the pop-up will not appear, and no manual time can be added.
This article explains the interaction between two settings in Settings / Users:
- Can edit time
- Time out after (controls the Were you working? pop-up in the desktop app)
Can Edit Time Setting
Located in Settings / Users, the Can edit time setting determines whether Users can:
- Add manual time and edit existing time entries on the Edit time page.
- Add missed time via the “Were you working?” pop-up after a timeout or when locking the screen/sleeping the computer.
If Can edit time is ON or Approval needed:
- Access to the Edit time page is granted.
- The “Were you working?” pop-up will appear after timeouts or when locking/sleeping the computer, allowing manual time addition.
- For details on approving pending manual time, see How to Approve or Disapprove Manual Time.
If Can edit time is OFF:
- Access to the Edit time page is blocked.
- The “Were you working?” pop-up will not appear.
- Manual time cannot be added for inactive periods.
Note: Manual time entries can be reviewed in the Activity Summary report.
Were You Working? Pop-up
The “Were you working?” pop-up appears when the desktop app detects inactivity for the set Time out after period.
Process:
- After the Time out after threshold is reached with no activity, a 60-second countdown appears.
- If there is still no keyboard or mouse movement after the countdown, the pop-up appears (only if Can edit time is ON or Approval needed).
If Can edit time is ON or Approval needed:
- Clicking YES, I WAS WORKING adds the inactive period as manual time (yellow in reports).
If Can edit time is OFF:
- The pop-up will not appear, and no manual time can be added.
Time Out After Setting
To set the Time out after value:
- Go to Settings / Users.
- Locate the “Time out after” column.
- Set a time-out threshold for all or individual Users.
