How to Manage User Schedules

 

Note: The Schedules feature is available in the Standard and Premium plans and can be accessed by Owners and Admins.

TL;DR: 

Set up and manage User schedules from Settings / Schedules. Assign work hours, monitor attendance using the Attendance report, and upload schedules in bulk using a CSV file.

 

Manage User schedules to define expected working hours, monitor attendance, and improve payroll accuracy. Configure individual schedules or upload them in bulk using a CSV file.

 

Accessing Schedule Settings

  1. Go to Settings / Schedules.

  2. View and manage work schedules for assigned Users.

 

Creating a Schedule

Define working hours for each User to ensure accurate attendance tracking.

  1. Open Settings / Schedules.

  2. Select the appropriate User.

  3. Set the required work hours (for example, 9 a.m.–6 p.m. PST).

  4. Save changes.

Configured schedules determine how attendance is calculated and reported.

 

Using the Attendance Report

Use the Attendance report to review time worked within assigned shifts.

The report:

  • Displays hours worked during scheduled time

  • Excludes time outside assigned shifts (if applicable)

  • Supports payroll calculations and compliance tracking

Access the report from the Reports section of the web app.

 

Creating Predefined Schedules

Create predefined schedules when multiple Users follow the same working hours.

Currently, the platform does not support copying and pasting schedules across multiple days directly. Enter schedules individually for each day or upload them using a CSV file.

 

Uploading Schedules via CSV

Use a CSV file to upload schedules in bulk.

  1. Go to Settings / Schedules.

  2. Download the CSV template from the Schedules page.

  3. Enter schedule data in the template using the required format.

  4. Save the file in CSV format.

  5. Upload the completed file to the Schedules page.

Bulk uploading reduces manual entry and improves efficiency when managing multiple Users.

 

Troubleshooting Schedule Upload Issues

If issues occur while setting up or uploading schedules:

  • Verify that the CSV file matches the required format.

  • Confirm that the file is saved in CSV format.

  • Close and reopen the file before uploading.

  • Save the file in a different location if saving errors occur.

  • Restart the computer if file issues persist.

 

Managing schedules in Time Doctor ensures accurate attendance tracking and supports payroll processes. Use individual schedule settings or CSV uploads to efficiently manage work hours across Users.
