How to setup Wellness Reminder Feature
Note: Wellness Reminder is available with All Time Doctor Subscription Plans. This can be configured by Owners, Admins and can be accessed by all Time Doctor users.

The new wellness reminders feature aims to help improve well-being for desktop app users by gently prompting them to take regular breaks when they have been working continuously for a configurable period (default: 2 hours when enabled). Reminders are non-intrusive, company-configurable, and designed to fit seamlessly into your workflow, supporting healthier habits and work-life balance.
Why Take Breaks?
Long, uninterrupted work periods can lead to fatigue, eye strain, and reduced productivity. Wellness reminders ensure you get timely nudges to recharge and keep your energy levels up throughout the workday.
How Do the Reminders Work?
- Continuous Work Timer: Starts when you begin tracking time, paused only if you take a break or pause tracking or restart the desktop app for 5 or more minutes.
- Passive System Notification: After your set interval (e.g., 2 hours), a non-intrusive operating system notification appears, showing wellness reminders.
- In-App Banner Notification: Clicking a system notification or opening the app with a reminder active shows a banner at the top of the app, including:
- Break icon
- Rotating reminder messages
- Dynamic timer showing your uninterrupted work duration
- “OK, GOT IT” dismiss button


Dismissal Options
Reminders disappear when you:
- Click “OK, GOT IT” on the banner
- Pause tracking
- Start tracking time to a “Break” task
- Higher priority message (e.g., session expired) appears
If ignored, reminders remain visible, until the next interval.
Setting Up Wellness Reminders
Admins can enable or disable this feature for the whole company:
- Go to your company’s settings under Configuration.
- Look for “Use Wellness Reminders” and toggle ON or OFF.
- When enabled the default interval is 2 hours but is configurable.

Ubuntu OS – Limitations and Notifications:
Ubuntu 20.xx:
- Notifications are fully supported.
- The operating system will display system notifications as expected.
Ubuntu 22.xx and Above:
- Native operating system notifications are not supported due to GNOME design changes.
- Instead, the Time Doctor desktop app will present a status indicator directly in the TD icon within the system tray.
Frequently Asked Questions
Will reminders interrupt meetings or full screen presentations?
The operating system itself should be able to detect if you are in full screen mode and suspend the reminders until you exit full screen mode. The app does detect if your microphone is active or not to detect meeting mode and suspends reminders. You need to ensure the “Don’t time out on calls” setting is enabled from the User settings page.
Can users customize reminder intervals?
Currently, reminders are set by your company admin only.
Is this feature available to all plans?
Yes, interactive desktop users on any plan can access it.
