The Benchmarks AI Report: What It Is and How to Read It

Note: Benchmarks AI is available with Time Doctor’s Premium Subscription Plan and as an add-on to Basic and Standard plans. This feature is accessible by Owners, Admins, and Managers.

TL;DR

Use Benchmarks AI to understand how selected users or groups compare with similar profiles or with the wider Time Doctor user base. Read the charts by looking at the selected comparison group, the percentile bands, and the trend over multiple weeks rather than focusing on one data point.

 

Understand Benchmarks AI as a comparison tool, not a scorecard on its own. Use it to spot patterns, identify gaps, and decide where deeper analysis may be needed.

 

What Benchmarks AI Shows

Benchmarks AI compares selected users or groups against a benchmark group using weekly data.

Time Doctor analyzes anonymized data from over 250,000 users across 12,000+ businesses to create meaningful comparisons. To make results more relevant, Time Doctor uses AI to group users with similar characteristics and work patterns.

When reviewing the page, focus on three questions:

  1. What group is being analyzed?

  2. What benchmark group is selected?

  3. Is the result part of a trend or just one week of data?

 

Choose the Right Benchmark Group

For each metric, choose the group to benchmark against.

 

Similar Profiles (AI Matched)

Select Similar Profiles (AI Matched) to compare selected users against profiles that are most similar to them, such as users with similar job roles and work patterns.

Use this option when the goal is to get the most relevant comparison.

 

All Profiles

Select All Profiles to compare selected users against the entire Time Doctor user base.

Use this option when the goal is to get a broader view, while recognizing that it may be less specific to the company’s work environment.

 

Read the Top 25% and Bottom 25% Bands

Each benchmarked metric includes performance bands to help interpret results.

 

Top 25%

The Top 25% band represents users who fall within the highest 25th percentile of performance in the selected comparison group.

 

Bottom 25%

The Bottom 25% band represents users who fall within the lowest 25th percentile of performance in the selected comparison group.

Use these bands to understand position, not just value.

For example:

    • If a line stays close to or above the Top 25% band, the selected users are performing near the higher end of that benchmark group.

    • If a line stays near the Bottom 25% band, review the trend and investigate possible causes before drawing conclusions.

    • If results stay between the two bands, performance is within the broader middle range of the selected benchmark group.

 

Read the Date Range Correctly

Benchmarked data is available on a weekly basis, starting from January 2025. Due to processing time, there is a one-week lag, so the current week will not be available. Each week runs from Monday to Sunday.

Use the date picker to review a:

  1. specific week

  2. month

  3. custom date range

By default, the past 60 days are shown.

For longer date ranges, switch to the full-width view to make trends easier to read.

 

What this means in practice

  1. Do not expect real-time benchmark data for the current week.

  2. Compare several weeks together when looking for patterns.

  3. Use longer date ranges to confirm whether a change is temporary or consistent.

 

Compare Multiple Users or Groups

Compare up to five users or groups on one chart by enabling Show Users/Groups Individually (Max 5).

When using Similar Profiles (AI Matched), each selected user or group is benchmarked against profiles most similar to that specific selection.

Use this view to:

  1. compare teams side by side

  2. identify which group is improving or declining

  3. see whether one group differs from the others over time

 

Open User-Level Benchmark Details

To see more detail, click any data point in the chart or select View User-Level Benchmarks.

This view shows aggregated values for each week for the selected users, along with the percentile they fall into within their benchmark group.

Use the side panel to:

  1. inspect spikes or dips for a specific week

  2. review user-level weekly benchmark values

  3. filter which groups appear when comparing multiple groups

 

When to use this view

Open User-Level Benchmarks when a chart shows an unexpected change and a closer review is needed.

For example, use it to check:

  1. why one week is much higher or lower than the rest

  2. whether a group trend is driven by only a few users

  3. whether performance changed gradually or suddenly

 

How to Interpret the Results

Read Benchmarks AI as context, not as a final judgment.

 

Look at trends, not one week

A single weekly data point can be misleading. Review several weeks before deciding that performance has improved or declined.

 

Use the benchmark group as context

A result may look strong against All Profiles but more average against Similar Profiles (AI Matched). Start with the benchmark group that best matches the question being asked.

 

Treat percentile bands as guidance

The Top 25% and Bottom 25% bands help show relative position within the comparison group. They do not explain why a result happened.

 

Consider business context

Interpret benchmark results alongside factors such as:

    • company size

    • workforce structure

    • industry nuances

    • recent operational changes
