Understanding Productivity Calculation: Metrics and Methods

Note: Productivity calculation is available in all Time Doctor subscription plans and can be accessed by Owners, Admins, and Managers.

TL;DR:

Productivity percentage is calculated by dividing productive time by total tracked time and multiplying by 100. Idle time is included in total tracked time but does not reduce productive time. Manual time is tracked separately.

Productivity is calculated based on time spent on applications and websites categorized as productive. These categorizations are defined in the Productivity Ratings section.

Productivity ratings classify websites and applications as:

  • Productive

  • Unproductive

  • Neutral

Only time spent on items marked as Productive contributes to productive time.

How Productivity Is Calculated

Calculate the productive percentage using the following formula:

Productive % = (Productive Time ÷ Total Tracked Time) × 100

Divide productive time by total tracked time, then multiply the result by 100.

Example:

If:

    • Productive time = 24.04 hours

    • Total tracked time = 24.91 hours

Then:

Productive % = (24.04 ÷ 24.91) × 100 = 96.51%

Idle Time

Idle time refers to periods when no keyboard or mouse activity is detected while tracking time.

Idle time:

    • Is included in total tracked time

    • Does not reduce productive time directly

    • Does not count as productive time

Example:

If 2.75 hours of idle time occur during 24.91 tracked hours:

    • Idle time is recorded separately

    • Productive time remains based only on productive applications

Total Tracked Time

Total tracked time is the complete duration recorded by the timer.

It includes:

    • Productive time

    • Unproductive time

    • Neutral time

    • Idle time

Example:

If 24.91 hours are tracked, that total includes all recorded activity and idle periods.

Manual Time

Manual time refers to time added manually to the dashboard instead of being tracked automatically by the application.

Manual time:

    • Is added separately

    • Follows the productivity rating of assigned tasks or applications

    • May affect productivity percentage depending on categorization

Why Productivity Ratings Matter

Ensure that applications and websites are categorized correctly in Productivity Ratings.

Accurate categorization ensures:

  • Correct productive time calculations

  • Reliable productivity percentages

  • More accurate performance insights

Review ratings regularly to maintain accurate reporting.

Productivity is determined by time spent on applications and websites marked as productive. Idle time is tracked separately and included in total tracked time but does not directly reduce productive time.

Review and maintain accurate productivity ratings to ensure meaningful productivity data.
