How to Approve or Disapprove Manual Time

 

Note: Manual Time Approval is available on Standard and Premium Time Doctor subscription plans and can be accessed by Owners, Admins, and Managers (configuration is limited to Owners and Admins).

 

TL;DR
  • Open Approvals to review pending manual time requests.
  • In Actions, select Approve or Disapprove for each entry.
  • Enable Auto‑approve manual time to automatically approve short manual entries (up to 15 minutes).
  • Disapproved manual time is excluded from reports and remains visible on Approvals and Edit Time with the disapprover’s name.

 

Manual time entered by users can require approval before appearing in reports. Use the Approvals page to review and act on requests. Configure auto‑approval thresholds in Settings / Company Settings / Configuration.

 

Access and Visibility

  • Who can approve/disapprove: Owners, Admins, and Managers.
  • Manager scope: Managers see requests only from users they manage.
  • Regular users: Read‑only access to Approvals.
  • When Approvals appears: Approvals is visible only if at least one user requires approval for manual time.

 

Enable Manual Time Approval (prerequisite)

  1. For the user, locate Can edit time.
  2. Set Can edit time to Approval needed.

Tip: Apply settings in bulk to multiple users as needed.

Approve or Disapprove Manual Time

  1. Open Approvals.
  2. Review each request’s details (user, date/time, project/task, duration, notes).
  3. In the Actions column, choose Approve or Disapprove.
  4. Repeat for all pending requests.

Auto‑approve Manual Time (optional)

  1. Go to Settings / Company Settings / Configuration.
  2. Find Auto‑approve manual time shorter than.
  3. Select a threshold: Off, 1 minute, 2 minutes, … up to 15 minutes.
  4. Save changes.

 

What happens when manual time is disapproved?

  • Disapproved entries do not appear in reports.
  • The affected user sees the disapproval on Approvals and Edit Time, including who disapproved it.
  • Any eligible approver (Owner/Admin/Manager with scope) can later change a disapproved entry to Approved.
